The golden rules
- 1Search before you create. Duplicates are the biggest data problem in any CRM.
- 2Log everything. Every call, email and meeting. Your memory fades; the CRM’s doesn’t.
- 3Keep records current. A deal with a close date three months ago is worse than no deal at all.
- 4Link records together. Contact to organization, to opportunity, to project: the links are what make the CRM useful.
- 5Write it down. Descriptions, solutions and comments are where the real value lives.
A daily routine
| When | What to do |
|---|---|
| Morning (5 min) | Check the dashboard, today’s activities and your open tickets. |
| During the day | Log calls and meetings straight after; update deal stages; answer tickets. |
| End of day (5 min) | Clear overdue tasks, plan tomorrow, update stale deals. |
| Weekly (15 min) | Review your pipeline, check outstanding invoices, run your key reports. |
Shortcuts
| Shortcut | What it does |
|---|---|
| + in the top bar | Create any record from anywhere. |
| Search in the top bar | Find any record across modules. |
| Ctrl+click a record name | Open it in a new browser tab and keep your list. |
| Eye icon in a list | Preview a record without leaving the list. |
| Pencil in a list cell | Change one value without opening the record. |
| Star on a record | Follow it, and be told when it changes. |
| @name in a comment | Notify a colleague. |
Keeping data clean
- Agree on naming. Decide as a team how to name things — e.g. “Company — deal” for opportunities — and stick to it.
- Use the dropdowns. Pick from the options instead of typing free text; filters and reports depend on it.
- Check email addresses. The email is your most important identifier.
- Close rather than delete. Mark old records closed or inactive instead of deleting them. Deleted records go to the Recycle Bin, where they can be restored; only an administrator can delete them permanently.
