Reports

Turn your records into tables, summaries, pivots and charts.

Reports answer questions like “How many deals did we close this quarter?” or “Who has the most open tickets?” without scrolling through lists.

Opening Reports

Click the Reports icon in the top bar. Reports are organised in folders, and Favourites and Recently run keep the ones you use close at hand.

Ways to look at a report

Every report can be shown three ways, using the switch above the results:

ViewBest for
TableA list of records, like a spreadsheet, with groups you can expand and collapse and totals.
SummaryCounts and totals per group — for example deals by stage.
PivotTwo dimensions at once — for example stage by salesperson.

A chart sits under the results and follows the view you choose. Click a bar or slice to see the records behind it.

Running a report

  1. 1
Find the report in its folder, or search for it.
  2. 2
Click its name: the results appear straight away.
  3. 3
Use the search box and the column headers to narrow and sort the results. To limit the dates, add a condition on the Filters tab.
  4. 4
Export what you see with the Excel, CSV or PDF buttons.

Creating a report

  1. 1
    Click New report.
  2. 2
Give it a name, choose a folder and the module it is about (for example Opportunities), then click Next.
  3. 3
Build it in the report editor’s tabs — the preview updates as you go:
    • Filters — which records, e.g. stage is Closed Won and close date is this quarter
    • Columns — which fields to show
    • Calculations — sums, averages, lowest and highest
    • Group & sort — group by up to three fields
    • Sharing & schedule — who can see it, and emailing it on a schedule
  4. 4
Click Save & Generate Report (on a report you are changing, Save report).
