Leads

Capture prospects, work them, and convert the qualified ones.

A lead is someone who has shown interest but hasn’t been qualified yet. They might have filled in a form on your website, been referred, or met you at an event. Leads stay in their own module until you decide they are worth pursuing; then you convert them.

The lead lifecycle

A lead moves through statuses as you work it. Typical stages look like this — your administrator sets the values in every dropdown, so the options in your workspace may differ from the examples below.

StageWhat it meansWhat to do
NewJust arrivedAssign it to someone and review it.
Contacted / in progressSomeone is working itLog calls and emails; find out the need.

Creating a lead

Leads from your website forms arrive on their own. To add one by hand:

  1. 1
    Click Leads in the sidebar.
  2. 2
    Click Add Lead.
  3. 3
    Fill in:
    • First and last name (last name is required) and company
    • Email and phone
    • Lead source — where the lead came from
    • Lead status
    • Assigned To
  4. 4
Add a description of their need.
  5. 5
    Click Save.
Note:If your workspace uses lead scoring, each lead also gets a score and a Hot, Warm or Cold grade, worked out from how well it fits and how engaged it is.

Working a lead

  1. 1
Open the lead and read what you know.
  2. 2
Log your first contact attempt as an activity.
  3. 3
Update the status as you learn more.
  4. 4
Add a comment after every conversation: what you discussed, what they need, next steps.
  5. 5
Schedule the follow-up — every lead should have a next action and a date.
Tip:Never leave a lead without a next step: it should have either a scheduled activity or a final status.

Converting a lead

When a lead is qualified, convert it. Converting creates linked records in one go:

  • a contact (the person)
  • an organization (their company)
  • an opportunity (the deal), if you want one
  1. 1
    Open the lead.
  2. 2
Click Convert Lead at the top of the page.
  3. 3
Tick what you want to create: Create Contact is ticked already, Create Organization is ticked when the lead has a company, and tick Create Opportunity if you want a deal. Check the fields shown for each. You must keep at least the contact or the organization.
  4. 4
Choose who the new records are Assigned To, and under Transfer related record to pick whether the lead’s comments, activities and documents move to the new contact or the new organization.
  5. 5
    Click Save.

The new records are created and linked to each other, and Omnir opens the new organization (or contact). The converted lead no longer appears in the Leads list.

Important:If an organization with exactly the same name already exists, Omnir links the new contact and opportunity to it instead of creating a second one — so check the company name matches before converting. Search for the contact too, to avoid creating a duplicate.
