Opportunities

Manage your deals and pipeline from first conversation to closed.

An opportunity is a deal you are actively working. It tracks the deal from the first conversation to won or lost.

The sales pipeline

Your pipeline is all your open deals, grouped by sales stage. Stages are set by your administrator; a pipeline usually runs from early stages (prospecting, qualified) through proposal and negotiation to Closed Won or Closed Lost.

Click Kanban View at the top of the Opportunities list to see the pipeline as columns, one per stage, and drag a deal to move it to another stage. If you don’t see the button, ask your administrator to set up a Kanban view.

Creating an opportunity

  1. 1
    Click Opportunities in the sidebar.
  2. 2
    Click Add Opportunity.
  3. 3
    Fill in the key fields:
    • Opportunity Name (required) — be descriptive, e.g. “Acme — annual licence 2027”
    • Organization and contact
    • Expected Close Date (required)
    • Amount
    • Sales Stage (required)
    • Probability
    • Lead source
    • Assigned To
  4. 4
    Click Save.

Moving a deal forward

Keep the stage, amount and close date current — forecasts depend on them.

  1. 1
Open the opportunity (or drag it in the Kanban view).
  2. 2
    Update the sales stage.
  3. 3
Update the close date if it has moved, and the amount if the deal size changed.
  4. 4
Add a comment explaining what happened.
Tip:Review your open deals every week. Old close dates make the pipeline untrustworthy: update them or close the deal.

Logging activities

Log every call, meeting and demo on the opportunity’s Activities tab, so the deal has a complete history.

Sending a quote

  1. 1
    Open the opportunity.
  2. 2
Open its Quotes tab and add a quote.
  3. 3
The opportunity’s details are filled in for you; add the products and services.
  4. 4
Save it, then email it to the customer with More ▸ Send Email with PDF on the quote.

Closing a deal

  1. 1
    Open the opportunity.
  2. 2
Set the sales stage to Closed Won or Closed Lost.
  3. 3
If it was lost, write down why in a comment or the description — it helps the whole team sell better.
Note:Accurate pipelines feed your reports and forecasts. Managers use them to predict revenue and coach the team.
